Know before you go

Thank you for allowing us the opportunity to prepare a proposal for your safari.

We endeavour to send all new proposals within 24 hours from receiving an enquiry.

We strongly encourage a telephone conversation where possible. This helps us to better understand individual requirements and preferences.

We do our best to secure the best possible price, so please let us know if you find that we have not been competitive or if you have found a better price elsewhere.

It is always best to book as early as possible as all prices quoted are subject to availability, particularly airline availability changes daily.

Prices quoted are subject to rate of exchange fluctuation and subject to availability at the time of booking.

All prices are quoted on a per person sharing basis unless specified.

Booking Terms & Conditions

Thank you for trusting us with your booking. Hidden Africa Safari Co. acts always as an agent, subagent or broker for various principals and 3rd party suppliers, such as scheduled airlines, touring companies, air charter operations and hotels including safari lodges and exclusive use villas. We act on behalf of these principals and are not responsible for acts of error or omission made by them or their agents.

Deposit details

All bookings must be accompanied with the relevant deposit or full payment. Deposits are non-refundable and suppliers may cancel bookings should a deposit not be received timeously.

A deposit is calculated at 30% of the total booking value and is payable at the time of confirming the reservation. Final payment is needed 8 weeks (60 days) prior to departure.

If a booking is made within 60 days prior to departure, full payment is required as soon as the booking reservation is confirmed. Failure to receive deposits or final payment may result in a supplier canceling a booking.

Airline reservations

If Hidden Africa make airline bookings for internal or international flights on scheduled airlines, a copy of all travellers passports showing full and correct names is required before a booking can be confirmed.

Once an air ticket is confirmed, airlines set a short ticket time limit and for this reason and to guarantee the fare quoted, Hidden Africa require full payment for air tickets together with the deposit. We require credit card payment as this avoids any delays caused when paying funds by bank transfer.

Because the tax portion of the airfare changes daily, the correct airfare total must be requested on the day of payment.

Hidden Africa ask all passengers to acknowledge in writing that airline reservation details and passenger names are correct, prior to issuing the ticket. Hidden Africa cannot take responsibility for incorrect spelling of names which should correspond exactly with your passport. No changes to names or dates can be accepted once tickets are issued, without penalties.

Please take extra care to ensure accurate information is provided to your Travel Planner.

Our Standard Cancellation Policy

  • Cancellation prior to 8 weeks of travel: 30 % deposit is forfeited
  • Cancellation 8 to 4 weeks prior to travel: 50% of total cost is forfeited
  • Cancellation less than 4 weeks prior to travel: 100% of total cost is forfeited

Hidden Africa strongly recommend cancellation and curtailment insurance to cover cancellation due to unforeseen events.

Travel Insurance

Cover your butt, don’t leave home without travel insurance. One of the golden rules of travel is making sure you’re covered against any unforeseen events or unexpected losses.

We strongly recommend all travellers take out comprehensive travel insurance including cancellation and curtailment cover. We recommend Global Rescue. Please contact them directly to discuss your travel insurance requirements.

Passports and Children

All travellers entering Southern Africa are required to have a passport that is valid for at least 6 months after their return. In addition, travellers must have two consecutive blank pages lying side by side when their passport is open. A parent travelling alone with children, will need a letter of consent from the absent parent, in addition to a certified copy of the absent parent’s identification document. This letter of consent must be police-certified.

Payment policy

All bookings are subject to rate of exchange fluctuation until paid in full. If you received your initial proposal quoted in dollars or pounds, when it comes to final payment, all payments must be made in local currency (Rands) as per foreign exchange regulations.

If you were quoted in a foreign currency, the booking will need to be converted to the equivalent rand amount using the rate of exchange on the day of payment. Any differences in rate of exchange or subsequent increases will be for the guest’s account.

If a booking is paid in full the price quoted is guaranteed and is no longer subject to rate of exchange fluctuations.

If payment is made by bank transfer the funds that we receive in our account must equal the Rand amount as on the invoice sent to you. Please instruct your bankers accordingly.

Payment options accepted

Payment may be made by Visa, MasterCard, Amex or Diners card. via an encrypted payment link, or by bank transfer into the Hidden Africa bank account, the details of which will be provided on request.

Customer Privacy policy

Hidden Africa shall take all reasonable steps to protect the personal information of users. For the purpose of this clause, “personal information” shall be defined as detailed in the Promotion of Access to Information Act 2 of 2000 (PAIA). The PAIA may be downloaded from this link.

Website Disclaimer

Although Hidden Africa aims to provide accurate and truthful information, neither Hidden Africa or its employees, agents can be held responsible for any travel service, rules and conditions that are incorrectly represented on the Website. The data and services shown are provided in good faith.

All packages, airfares and land arrangements published on the Website are subject to currency fluctuations, availability, increases, rules and conditions, and can be changed without prior notice. The information contained on this site is an invitation to do business and not an offer.

Intellectual Property

All the content on the Hidden Africa website, including copy, illustrated maps, logos, icons, designs and trademarks are the intellectual property of Hidden Africa Safaris.

Limitation liability

Hidden Africa, its partners, members, directors or employees (‘the Indemnified Parties’) shall in no event be liable for any injury, loss, claim, damage, inconvenience or any incidental, economic, consequential, indirect or special loss or damages, including but not limited to lost profits or savings, arising out of or in any way connected with the use of or reliance on any display or information on the Website.

Country of domicile

This website is governed by the laws of South Africa and Hidden Africa chooses as its domicilium citandi et executandi for all purposes under this agreement, whether in respect of court process, notice, or other documents or communication of whatsoever nature: The Barn, 31 Willow Road, Constantia, Cape Town 7806

Law, Jurisdiction, domicilium and legal Fees

South African law and the jurisdiction of South African courts will govern the relationship between the Client and the Company. The Company shall be entitled to institute any legal proceedings arising out of or in connection with this contract in any Magistrates Court having jurisdiction in terms of Section 28 of the Magistrates Court Act no. 32/1944 as amended, notwithstanding that the amount in issue may exceed the limits of such jurisdiction. The parties choose their respective domicilium citandi et executandi as reflecting in the Booking Form. The Client will be liable for all legal fees on an attorney and own client scale in the event that the Company has to take any legal steps of any nature whatsoever pertaining to the Conditions and/or arising from the Booking.

Dispute – resolution

Any and all dispute arising out of or in connection with the Conditions including any question regarding its existence, validity or termination and/or advice, requests, quotations, estimates, bookings made or services rendered or goods supplied, shall be dealt with as follows:

Firstly the parties will meet within 5 (five) working days of the dispute arising in an attempt to resolve the matter amicably. Failing such amicable resolution of the dispute within 5 (five) days of their meeting, they will attempt to resolve the matter by mediation – the mediator will be an independent third party mutually agreed upon and, failing such mutual agreement, a party appointed as a mediator by the Arbitration Foundation of South Africa (‘AFSA’), which mediator must be appointed within 5 (five) days of their failing to resolve the matter amicably and the mediation itself must take place with a further 5 (five) days from the date the mediator is appointed. Failing such amicable resolution of the dispute by the intervention of a mediator, the dispute must be referred to arbitration in Cape Town within 2 (two) days of the failure to resolve the dispute by the intervention of a mediator, which referral must be delivered in writing to and be conducted in terms of the rules of AFSA for the time being in force which rules are deemed to be incorporated by reference into this clause. The tribunal shall consist of one (1) arbitrator to be appointed pursuant to the AFSA Rules. The arbitrator’s decision shall be final and binding upon the parties and shall provide the sole and exclusive remedies of the parties. The judgment upon the award so rendered may be entered in the record of any court having jurisdiction or application may be made to such court for a judicial acceptance of the award or orders of enforcement. The commencement of any arbitration proceedings under this Clause shall in no way affect the continual performance of the obligations relates to the subject matter of such proceedings.

Notwithstanding the provisions of this clause, either party may bring an urgent application to any court that has jurisdiction if circumstances arise that merit such an application.
